Background
Due to the forthcoming departure of the incumbent officer, TAMF requires an Activity Support Officer for an initial four month period. The Activity Support Officer’s main duties entail providing administrative and logistical support to consultants (expatriate and local) for the implementation of TAMF funded activities. He / she will also be responsible for administering the day-to-day running of a small TAMF office in a TAMF partner Government Agency. Key duties include:

  • administering financial operations, including budget preparation and records keeping;
  • establishing and maintaining a checklist system to ensure compliance with the TAMF Activity Management Cycle;
  • assisting with the implementation of various activity-related tasks, including visa application, travel and accommodation arrangements, car hire, scheduling appointments, documents sending, photocopying, organizing meetings, workshops and conferences, as well as translation and interpreting assignments;
  • establishing and maintaining an efficient filing system, both physically and electronically;
  • assisting with the management of the computerized Activity Information System;
  • assisting with data searching and information compilation for purposes of activity proposal, design and/or implementation; and
  • undertaking other tasks as requested by TAMF staff and or consultants.

Selection Criteria

  • a university graduate and or qualifications in secretarial and or administrative support
  • Over 5 years experience providing secretarial and administrative support
  • Experience organizing events such as seminars, workshops and conferences
  • Good computer skills and the ability to use different software and hardware
  • A good command of written and spoken English
  • Good inter-personal skills
  • Experience in an international organization in Indonesia will be highly regarded
